1. Terms of reference
• The term “Exhibitor” shall include all employees, personnel and agents of any company, partnership, firm or individual to whom space has been allocated for the purpose of exhibition.
• The term “Exhibition” shall mean: Doctors Days.
• The term “Organizer” shall mean: Independent Group for Exhibitions & Conferences.
2. Application for Participation
a. All applications for participation shall be made on the enclosed application form, which shall be submitted to the organizer.
b. The contract shall be established when the exhibitor submits the application form and pays the Organizer 50% of the participation fee.
c. Application form must be completed by all required information. Signing the application means that the exhibitor has accepted all terms and regulations.
3. Allocation of Exhibit Space
a. The organizer shall allocate the space in accordance with the nature of the exhibits or in the manner the organizer deems fit.
b. Organizers shall reserve the right to change the space allocated to the Exhibitor at any time prior to the commencement of the build-up of the exhibition should the circumstances require changes.
4. Use of Exhibit Space
a. Exhibitors are bound to exhibit the announced products or services and to manage the exhibits with competent personnel during the open hours of the Exhibition.
b. Every exhibitor shall occupy the space allotted to him 3 days prior to the opening of the Exhibition. In the event of default from any cause the Organizers have the right to deal with the space in any way the think best.
c. All exhibits must accord with the description on the application form, and be relate to the theme of the Exhibition.
d. Direct sales without permission of the organizer are completely prohibited. If the exhibitor violates the above-mention rules, the Organizer can remove his booth or order the dismantling of his booth.
e. Exhibitors reserve the right to refuse any application.
f. Exhibitors are not allowed to sublet the space allotted to them to other parties, either wholly or in part, without the written consent of the Organizer.
g. Any modification including decorations such as painting the floor, ceiling and pillars will not be permitted and consequent damage to the exhibition hall will be compensated by the exhibitor.
h. Exhibitors shall be totally responsible for the obtaining of visas as may be required to enable them, their personnel, agents, representatives, visitors or others to attend the Exhibition and in no event shall there be any claim for damages or otherwise against the organizers in the respect of any loss or expenses relating there to.
i. Children under 16 years old is not allowed to enter the exhibition, and exhibitors are not allowed to enter their children even to their allocated booths.

5. Terms of Payment
a. 50% deposit of the participation fee and / or relevant stand charges must be paid at the time of application by the exhibitor. The balance shall be paid not later than 40 days before the opening of the Exhibition.
b. The participation fee shall be paid by the due date. Otherwise the organizer has the right to cancel the contract, and in this case, the Exhibition deposit will not be refunded.
c. Payments are to be effected by check or bank transfer.
6. Breach of Contract and Withdrawal by Exhibitor
a. In the event of abandonment or rejection of the allocated spaces, the organizer has the right to cancel the exhibitor’s application or relocate the partly abandoned or rejected space. In this case, the exhibition deposit will not be refunded.
b. In the event of exhibitor abandonment within 2 months prior the opening date, in this case the Organizer has the right to keep the paid amount.
c. In the event of exhibitor abandonment more than 2 months prior the opening date, In this case, if the participation fee for the diminished space is already paid, half of the fee will be refunded, but if that fee is not yet paid, the exhibitor should pay half of the fee applicable to the diminished space.

7. Changes of Date or Cancellation of the Exhibition
a. If unforeseen event arise which are not the responsibility of the Organizers reserve the right to:
- Cancel the exhibition: in this case the registration fee will not be refunded.
- Change the date of exhibition: in this case the exhibitor who are unable to attend the fair at the new date are authorized to cancel their contract by registered letter within one week of being notified of the change of date.
- Organizer reserves the right to terminate the exhibition if use or occupancy of the exhibition premises is or will be materially interfered with by reason of fire, casualty, strike, embargo, injunction, acts of God, or any other emergency or any other act or event not the fault of Organizer during any period of time the availability of which is critical to the successful production of the fire. It is expressly agreed that such a termination shall not constitute a breach of this agreement.
b. The Organizer reserves the right to change the venue and duration of the exhibition if exceptional circumstances demand. No refunds will be given.
8. Decoration of Stand-Services
a. All Exhibitors must complete their construction and / or decoration by the date and time stipulated by the organizer. The exhibition site will be open to the exhibitor for setting up the booths 3 days before.
b. The Organizer reserves the right to make additional charge to each exhibitor equal to any amount charged to them for any services supplied whether specifically ordered or not. The organizer accepts no responsibility for breakdown or failure of any of the services provided for or in connection with, the Exhibition.
9. Removal of Exhibits
Exhibitors shall remove all exhibits from the exhibition hall within the period stipulated by the organizer and shall modify the organizer for loss by reason of delay or damage to the Exhibition hall.
10. Security
a. The organizer shall take all reasonable security precautions in the interests of exhibitor and visitors.
b. The organizer shall not be held responsible for any loss or damage to exhibits at the exhibition hall during the build-up, exhibition and dismantling periods. The organizer shall not be held responsible for any loss or damage to exhibits or any article belonging to the exhibitor.
11. Insurance
The Organizers are not responsible for any damage caused by exhibitors to a third party or to them selves, not to the loss, theft or destruction or equipment or commercial goods being exhibited. However, exhibitors are advised to take adequate precautions to ensure that all articles and valuable items are covered by their own insurance.
Fire Regulations
a. Materials used in stand and display constriction must be properly fire-protected in accordance with the regulations of fairgrounds.
b. The organizer has the right, should circumstances necessitate, making changes in the exhibitor’s stand in the interest of fire control.
c. The organizers have the right to distribute fire extinguishers within the exhibitor’s stand.

 
12. Supplementary Clauses
a. Whenever necessary, the organizer shall have the right to issue supplementary regulations in addition to those in the terms and regulations for participation to ensure the smooth management of the exhibition.
b. Any additional written regulatory instruction shall form part of the Terms and Regulations for Participation and they shall be binding on the exhibitions.
c. The exhibitor shall also observe Doctors Days, Rules and regulations.
d. An exhibitor’s manual will be issued to each exhibitor containing detailed instructions for organization of the Exhibition.
13. Arbitration of Disputes
a. The organizer cannot accept any complain or claim against them unless it is submitted in writing to the address given below within two weeks of the closing date of the exhibition. All claims and disputes shall be settled in the country of the Exhibition, in accordance with the prevailing laws.
